It is a highly collaborative, highly visual team-based activity and is very powerful in bringing together disparate groups of people (who may operate in isolated silos) to understand an end-to-end process (current state) and brainstorm the opportunities for improvement and how it could look if it were streamlined (future state).•Due to the size of the brown paper utilized (typically 8-10 feet wide, by 4-5 feet high), it is very effective at “bringing the process to life” –allowing the process participants to see the process from end to end –including inputs, outputs, deliverables, issues, bottlenecks, inefficiencies and opportunities.•Whilst many advanced technology-enabled methods exist for process mapping, the power in the “low tech” approach used with brown paper process mapping comes through its inclusiveness and the way it facilitates shared understanding and team-based problem solving.•Often times when teams who play a role in operating an end-to-end process are brought together for a brown paper process mapping session it will be the first time they have met! This allows barriers to be removed and a true end-to-end view to be obtained and a true best-case future state to be created, with group input and buy-in.What is Brown Paper Process Mapping?Brown paper process mapping andSIPOCBrown Paper Process Mapping v1.2© 2017 EXPERT TOOLKIT | ALL RIGHTS RESERVED | USAGE PERMITTED ASPER USER AGREEMENTPage 5SSuppliersIInputsPProcessOOutputsCCustomersRequirementsBrown Paper Process MapRefer to the Expert Toolkit Guide on the SIPOC MethodBrown Paper Process Mapping Is An Effective Means for Creating a SIPOC ModelMapping at the right levelBrown Paper Process Mapping v1.2© 2017 EXPERT TOOLKIT | ALL RIGHTS RESERVED | USAGE PERMITTED ASPER USER AGREEMENTPage 6Core / Macro processes(Level 0)Sub-processes(Level 1)Sub-processes trough micro-processes(Level 2 and below)Agent understands needsTicket closedAgent raises ticketAssurance reviews ticketService repairedAgent notifies customerCustomer callDiscoverOrderFulfilmentCustomer CareBillingBrown Paper Process Mapping is Most Effective at Level 2 & belowHow do you build a Brown Paper Process Map?Brown Paper Process Mapping v1.2© 2017 EXPERT TOOLKIT | ALL RIGHTS RESERVED | USAGE PERMITTED ASPER USER AGREEMENTPage 7•The starting point is a large sheet of brown paper -large enough to be visible to a team environment, and allow lots of “items” to be placed on the paper. Depending on the process being mapped, this could be 10 feet wide by 4 feet tall –but use your judgement based on the size and complexity of the process and the team involved.•Bind the edges of the brown paper with masking tape to make it sturdy and reduce the likelihood that it will tear at the edges. The brown paper will then be placed on the wall (using strong tape or tacks) in a central part of the room allowing for easy visibility and easy access by the group.•The leader of the brown paper process mapping session facilitates group discussion to layout the process in a collaborative working session using specific methods and symbols for drawing the process, highlighting issues and opportunities for improvement.•It is best to use pencils or Post-Its initially to draw the “current state” version of the process –until the team is confident it is an accurate representation. After this has been agreed it can be drawn in with black or blue markers.•The aim of mapping using brown paper is to foster collaboration, involvement and ownership –so “how” the process map is created is equally important as “what” is created. We will now go into detailed steps for creating a high quality brown paper process mapProcess OverviewThere are 8 steps to develop a brown paper process mapKey Steps in Brown Paper Process Mapping1.
